Awards based on activity attendanceGreetings,
I am trying to credit activity segments based on attendance. I created a 'special award' for the segments. Depending on the segment, scouts can earn the segment through attendance in the activity. After I 'X' in the attendance marker for the activity calendar, I am supposed to be able to cross reference that attendance with a special award? While in the ADVANCEMENT routine, should I be able to credit these special awards based on the attendance in the activity? Thanks in advance. YIS, -ART |

Re: Awards based on activity attendanceI would create a special activity type for each segment and then you could run a report to see who fulfilled the requirement.

Yes, that is exactly how that works. For example, you've gone into "Define Special Awards" to match an Activity that you've created a date for...say Troop/Family Campout for instance. For first year you divy out a Patch, then following years the year segment or whatever the case may be. When you've credited on that activity date who participated, then run the Advancement 4403 report and highlight Special Awards...it will reflect who participated and should receive those additional segments. You can't expect it to show up in Special Awards just by listing the Special Activity without also creating and defining a Special Award (Limit 100 on Special Awards currently). In TM, you're only limited to defining an additional 21 Activity Types...in addition to the 3 that are already pre-defined within the software for "Camping, Hiking, and Service Project." (That's only 24 total). If you add more, like we have for Troop Mtg, Committee Mtgs, Ceremonies, Fundraisers, O/A Activity, Training, etc...you run out of options really quick. Especially if you're tracking not only Youth attended activities, but also Adults for Training Tracking purposes, etc. Personally, I wish they'd expand those lists or options for Defining Activity Typed, Activity Levels, Special Awards, etc. Then you have different Levels of types of attendance that can be defined such as O/A Members, Crew, Post, Ship, Team, Troop, etc., and some might add Adults or Adlt Ldrs, etc. (Limit 30 total.) That is when you have to use the "Remarks" on a given Activity to name or define the type of Camping event, etc, then credit in the Special Awards section those that attended also. So, technically, you have to credit them in two sections, 1) for attending the Activity, and 2) in the Special Awards section for that specially defined Award in that section. Then when he runs that 4403 report and checks the box for Special Awards, all that attended will be listed and it will print out a card that a badge or segment can be stapled to, to present to them. Thanks for your feedback. But I think your response to Karen on this question fits what I am trying to do. I don't see where, or how, to link the special award to an activity. I think you explained in the other reply that I would have to tally the achievement in two separate areas: 1) the activity management section; and then again in the 2) advancement section. Since I want to 'award' these segments, it makes sense to simply use the special awards tab, instead of the activity schedule. Please let me know if I'm missing something here. Thanks again. Unless you also created the Acivity Date for the Activity that you are going to be creating the Special Award segment, you'll have no way of generating a report until you actually generate the 4403 report, at least not an easy way that I know of. If you do both, then later down the road forgot who attended and earned the award, you've created a way to both create an attendance matrix report for that type of activity. That way you'll already know in advance before having to generate the 4403 Advancement Report with Special Awards box also selected, which ones are getting the Special segments or awards. Hope that makes more sense as to why both the Acitivity AND Special Award have to be created and credited to each participant. If you track this stuff immediately after an event while it's still fresh in your memmory, it goes so much smoother later down the road when you need to know.
