Notes and doubts about GL

by PCS-Lists :: Rate this Message:

Nathan,

I observed some things about GL and would like to confirm if they are correct/true. Beyond this, I have some doubts to clear.

1) Is not possible to add two GL account_groups with the same name, despite belong to different sessions of accounts; (Can you change it?Is it complicated?)

2) The bank account number can't be composed by nothing beyond numbers, is it correct?

3) When add an entry (GL>>Journal Entry or Bank Transaction) the decimal separator is dot, but in Brazil we use comma. How can I change it?(In preferences>>perp_api the currency format is set "1200,03")

4)How can I view the current balance of a bank account or GL account. Is there a way to show it when adding new transactions?

Thank you so much for help.

Regards

It is possible to add two GL accounts with the same name, even in the
same group, as long as the GL account number is different.  It does
become hard to tell the difference between them though.

No.  The bank account number (not GL account number) is alphanumeric.

Where exactly?
When I changed my currency format (CAD) to 1200,03, the debit& credit
columns, as well as debit & credit total, and transaction balance were
all changed to match.

Side menu -> chart of accounts

Not implemented, but possible.

I tried to add two groups of accounts with the name TEST ACCOUNT with different numbers and the message "settings saved" appeared, but not the groups of accounts.

I tried to add bank accounts with the number 12345-X and 12345X and the message "settings saved" appeared, but not the bank accounts

In any place where I write numbers with decimal using comma the decimal places are not recorded.
Example: if I write 250,85 appear only 250,00, but if I write 250.85 it works!

mores doubts:

5) How can I make transfers from a bank account to another? In GL>>bank transactions>>add new line>>account#, the list of accounts showed not contains the GL accounts related to bank accounts.

6) When I add new transactions in GL>>Journal Entry and click in Post Transaction, nothing happens. No erros on apache log or messages on screen.
In another test base of perp, making the same thing appear the message below:

Fatal error: Call to a member function set_transaction_type() on a non-object in /home/perp/public_html/egroupware/perp_ledger/inc/class.ui_perp_ledger.inc.php on line 184

Can you help me?

You asked about adding two GL accounts with the same name, not adding
groups of accounts.
You cannot have two groups of accounts with the same name, even if
they are in different sections.

Please file a bug report with all the information, and some specific
examples.  There are several systems to be investigated.

I'm not sure.
Try a regular journal entry, that might do it.
Double check in the table perp_bank_ledger to make sure both ledgers
are updated correctly.

Journal entry is unable to make a withdraw from a bank account to deposit on another. Does it mean that will be necessary to make this in 2 steps: first a withdraw and after a deposit?
Don't it be unproductive?
Is really it?
Thanks

?
Worked fine for me.
It even correctly calculated the CAD -> EUR exchange in the bank
ledger (1.603 gives 31.19 Euro).

Date 2009/03/18
Account # Debit Credit Narrative
104000 - Bank- Montreal 50,00 Credit 50
105500 - Bank of Montreal - Euros 50,00 Debit 50
Transaction Balance: ~ Balanced ~ 50,00 50,00

57 104000 1.000 0 -50.00 CAD 0
57 105500 1.603 0 31.19 EUR 1

fixed.

Should be fixed.  Also, you can't even try to post an unbalanced
transaction anymore.

Nathan,

I would like to return to talk about bank transactions / journal entries.
What's the essential difference between both functions of this applications?
In wich cases should I to use one or another?
Doesn't should be the bank transactions (like explains the name) be able to do transfers between two bank accounts?

Can you help me about this?
Thanks and regards.

Bank Transactions vs Journal Entries

It's been a while , but I think the main difference is desired purpose.
The timeline went something like:

- A regular journal entry can involve any GL account, that doesn't
involve a sub-ledger (Bank Account, AP, AR, Payroll).
- A special bank transaction function was requested to be able to do
transactions involving a (one) bank account.
- Journal entries were extended to be able to handle bank accounts
automatically, but still can't handle AP, AR, Payroll.

Bank transactions are a little simpler, in that they automatically
balance, and they specify the currency conversion, but they've been
largely replaced by transparently adding the functionality into the
journal entry.

> In wich cases should I to use one or another?

Use the Bank Transaction if you like the interface, and are working
with a single bank account.
Use the journal entry for everything.

> Doesn't should be the bank transactions (like explains the name) be

> do transfers between two bank accounts?

Possibly.  That wasn't in my original specifications, so it didn't get
coded.  It's probably easier to make the Bank Transactions part go
away, because journal entries should be able to do everything, and
more, that Bank Transactions can.

If you're feeling adventurous, you can remove perp_ledger/inc/
class.ui_perp_ledger.inc.php line 400, and test Bank Transactions with
multiple bank accounts.

I hope that answers your questions, but if not, please continue to ask.

Referenced change is SVN rev. 3253

Similar changes made in rev. 3477, please try them out.

pERP rev 3480

perp_ledger>>journal entry works fine with comma
perp_ledger>>bank_transactions is not working with comma. If I write 250,30 , only 250,00 is showed, but with dot works!
perp_ap>>payments not working with comma. If I write 250,30 the valeu showed in "total payment" is 0,00 , but with dot it works!

I don't have a javascript parser.
Please file a ticket, I'll see what I can do.
Until then, you'll have to total manually.
