There's a bit of confusion here.  You are talking about the merit badge
application blue cards -- she's talking about the merit badge award cards,
what BSA calls merit badge pocket certificate cards.

As for using TM to print blue cards, I go TM all the way when a mass of blue
cards are needed, such as for summer camp.  The first year I went to summer
camp with my son's troop, it was mass confusion having the Scouts fill out
all their own cards, and many were just about illegible.  The following year
we used Troopmaster to produce the cards, and it went much more smoothly,
and I know the merit badge counselors were appreciative of being abe to read
names & addresses on the cards...

No Tim, that is not entirely corrct. I don't believe I've ever read
anywhere that it's the Scout's responsability to fill out his own MB
cards. Once he receives the card after requesting it and permission
to start working on one through the unit leaders, the card, already
filled out with exception of Councelor information and dates that
requriements are completed and signed off, it's only his
responsability to "KEEP TRACK OF IT."

It is up to the Scout to request one, from either his unit leader or
Advancement Chair.

Oops, my bad!

You guys must have HUGE Troops! Way back when, the Merit Badge Pocket
Certificates had the Scouts name, merit Badge, date typed in by a manually
operated word processor (Typewriter)! My leaders just hand wrote the info on
the card. That's what I did, That's what the current Troop Leadership does.
We also don't have a solar operated printer for use at summer camp (!LOL!)
Maybe I'll work on that one!

As for the Scout filling out his (blue) card, who fills does it if it's not
"his responsibility?" Sometimes, the obvious is not stated. We teach Johnny
Scout how to fill out the blue card, then get it signed by the SM. Takes
less than 5 minutes.sometimes 4 of those minutes are spent looking for
Johnny's pen!!

Our troop is currently at 98 Scouts. For this CoH (one of our smaller ones
in terms of MBs), we have 51 MBs being awarded. Following summer camp, we've
been known to hand out nearly 200. Peeling stickers and putting them on the
cards is time-consuming. If I can automate this process a bit, you bet I am!
 
Thanks to everyone who contributed to this discussion. Once I have all the
templates built, I'll post them in the files section. They will be in MS
Publisher. I'm sure something similar can be done in Word, but I find using
Publisher gives me greater control in where the text boxes are placed.

How huge is huge?  We've had between 35 and 45 Scouts in the Troop since my
son joined.

We presented 115 merit badges at one recent CoH.  No way I'm handwriting
that many MB pocket certificates!   Troopmaster to the rescue!

As for summer camp, our summer camp record since I've been with the troop
was 27 Scouts -- they all took at least 3 MBs, some of them 4 or 5 -- so
we're talking 80 or more blue cards.  We ask Scouts to give us a a list of
MBs they think they might take, and print the cards in advance.  Obviously
some change their minds -- we take blank cards for that eventuality.  Again,
Troopmaster to the rescue...

Personally, I prefer printing the cards on TM's award card stock to peeling
and affixing stickers to BSA's cards, because it takes less time on my
part.  But it's always good to have options.

Er, that was nearly 300 MBs we handed out last year, not 200. I like the
idea of printing out the cards using TM stock, but our Committee isn't
interested in investing in a color printer for me to use! And b&w graphics
aren't as cool as the colored ones available at the Scout shop. Picky,
picky, picky!

Oh, well, I use my own color printer, but I have been reimbursed for ink
cartridges.  The graphics I have for the award cards are color, not black &
white -- they look much snappier than the BSA pocket certificates, I think.

Congrats Beth. Glad you've made some progress. I've been watching the
thread carefully since I have a similar challenge (70+ boys, hundreds
of MBs per CoH). Any chance you'd post that template you came up with
as a service to your fellow Scouters (puurty pulease?)  We might be
able to improve on it as a group.

I do recall noticing that the 8-up form is a bit a-symmetric, as you
discovered. Might make for a challenge.

98 scouts and the committee won't pony up for a color printer?!?! For
50cents to $1 per scout you could get a pretty decent printer. I think
I'd push the subject if I were you!! Also, we use plain card stock
(not TM paper) it's cheaper and easier to purchase.
Let me know & I'll email the committee chair for you!! :-) That's
pretty cheap!
The money you save on TM paper vs card stock would pay for the
printer! ($26.95 per 100 sheets for TM paper + s/h)
Plus at 89cents per page of BS paper, you'd save a lot more going
through TM, even with the purchase of the printer.
250 sheets of card stock at staples is $12.99 that's 5cents per
sheet!!! Not 89cents per sheet!

Bottom line - Scout paper 89cents per page, TM paper 27cents per page,
card stock 5cents per page!

Show the committee the numbers that should convince them to buy a
printer!

Thanks to Chuck Hardee, I was able to import a .csv into a Publisher
template I created to print the 8-up cards sold at the Scout store. I love
the results, but wonder if the extra steps are going to be worth it. Here's
what I learned:

 

- The top row of cards are ever so slightly longer than the second row. So,
either the wording is high on the top row or low on the bottom row. You have
to decide with which you are happier.

 

Shorten up the form so that the top row is shorter, then insert a very
narrow blank divider between them making the second row the third row.  This
will push the former second row down to the proper start position.

 

- The .csv spits out the names as lastname, firstname, so you need to split
the name field and then concatenate them if you want them firstname,
lastname.

 

You can easily split them in excel.  This will require intermediate excel
skills but it is not out of the question but can be found in the help menu.

 

- The .csv is sorted by name and includes all the awards a scout or adult
has earned before moving onto the next person. You need to re-sort the .csv
so all the MBs are together, ranks are together, etc., since there are
different cards for rank vs merit badges vs service stars. I have only
created a template so far for the merit badges.

 

Again you can re-sort them by Merit Badge and then deleting the rest in
excel.  This will require only basic excel skills and can be found in the
help menu.

 

- I ended up with 6 unused cards on my last printed page. I don't know if
I'll be able to run the sheet through again with 2 cards missing from it, so
I foresee a bunch of partially-used sheets of MB cards.

 

Once you have the excel file sorted insert blank records where the missing
cards will be.  You might have to tape that set of cards to a plain piece of
paper to make sure that it handles the blank position correctly.

 

 

Those are the most obvious problems/concerns I've seen so far. If anyone can
see a way around some of these, I'd love to hear them.

 

Make sure that you save the excel file as .csv file unless the template can
also use .xls file.  Excel will want you to save as an .xls and you will
have to make sure that you select .csv.

I'm happy to share! I've just looked, though, and don't have the abillity to
add a file. That function appears to be restricted. Who is the moderator on
this board? Can you either give me the ability to post a file or let me know
how to send the file to you off-line so you can post it?

I asked before if we could directly post links and files since the
owner of the Group that started it is no longer active and didn't set
those options up for the rest of us.

Hello all.

I compiled a document with pertinentMB+label+Instructions.doc instructions on how to print out MB cards on 33414 sheets; the ones sold at the scout store in sheets of 8.
I also created the template that you can use once you have exported your data in .csv
This will be helpful when you mailmerge your data.MB+labels+form.doc
You should open the Mailmerge sidebar, choose Labels, Start from Existing Doc: MB labels form.doc
And then use your Existing list of contacts that you saved as a .csv file to input that data.
Hopefully this made all of the rest more clear and concise.
