Reserved timeslots with an expiration date

by drmaxx8 :: Rate this Message:

I often have the situation that I need to reserve 5 or 6 timeslots for
a potential group meeting. Does anybody has a good and efficient way
to delete these reservations automatically after a certain time
interval - like a calender entry with a expiration date? Right now I
am using a keyword for these reservations and when a final date was
set I delete all the others by hand.
Any suggestions welcome - for this feature I even would upgrade to
DateBk 6 :-)

I guess I'm a little unclear what you'd be using those "reservations"
for...  REGARDLESS, you should be able to at least "approximate" what
you want.

Option 1: Set an appointment on the "expiration date" and give it an
Advance that will cover today.  (For this to work as described, you
_cannot_ have an Expiration Date greater than 99 Days away.  You also
must have "Untimed Advances" UNCHECKED in DateBk5's "Appts"
Preferences.)  What's "nice" about this option is that you really only
see _two_ events -- the Floating Advance and the Appointment on the
Expiration Date.  All dates in between, are "open".  (Of course, this
may also be a drawback if you're trying to block off that timeframe
for ALL future dates until the Expiration Date.)  If the event won't
happen today, simply advance it one day.  Come the date of expiration,
it will simply stop going forward -- whether you mark it as complete
("Done") or not.

Option 2: Set an appointment today for the timeslot and make it a
Daily repeat -- just select an End Date.  (If this is something that
only happens during the "work week", make it a Weekly repeat that only
repeats on selected "work week" days.)  This blocks off the timeslot
for EACH day until the "Expiration Date" -- and that date can be any
number of days in the future.  Each day that meeting does NOT happen,
you can "strikethrough" (or "delete") that event.  The possible
drawback to this method is that you could potentially create a rather
large number of individual events (as each "strikethrough" event is a
separate individual event) as well as creating an event that's likely
to be flagged by dbScan as having too many "exceptions".

Option 3: Simply create a Floating Event for that timeslot.  When a
date is finally reached, you simply set the date and change it from a
Floating Event to an Appointment.  This assumes you're only wanting to
track one possible future date (as opposed to a "standing committee"
meeting that may or may not meet from day to day).  If the meeting
isn't going to happen today, you can advance it 1 day.  (Or you can
simply "OK" the alarm -- if set -- and it will automatically advance
for you.)

Option 4: A variation of what you're currently doing...  I'm not sure
if it's a series of repeating events you've created or what...
However, if it's not, you can make it repeat but don't bother setting
an End Date.  When this meeting is scheduled to have a true "final
meeting", you can then add the End Date for whatever date that happens
to be.  Make the change applicable to "All" instances of that event.
There's no need to delete all these extraneous events as the repeat
End Date handles that for you.

Option 5: A variation of Option 4...  Assuming this is only one event
we're really interested in (so once that final date is decided upon,
you don't need to keep blocking off that timeslot for any intervening
days), instead of setting an end date when it's decided, simply change
it from a repeating event to an event that has no repeats, period.
Set the date as necessary and all should be well in the House of
Denmark. ;)

Without any more description on exactly what it is you're trying to
accomplish (repeat each day until, only for today's possible schedule,
etc.), one of the above should hopefully meet your needs...  If not,
let us know what you're trying to do (really -- with more description
on how that meeting is scheduled and how you interact with your daily
schedule, etc.) and we'll see if we can cater to that...

Hope that helps. :)

Man, that reply was fast AND extensive.
Sorry, for beeing not clear in my questions. Here an other try because
I do not think that any of your good solutions actually work for me :-
(
Example: For a group meeting (of people working in different
organisations and places) we try to find a date. So somebody is
sending some suggestions around: E.g. Morning of Feb 2, 3, 8, 22
(nowadays there are often more then 10 of these suggested dates). So
until everybody replies and indicates his possible dates I would like
to reserve these days for a possible meeting. Usually within 3 days
everybody agrees on one of these dates and I can delete the other
ones.
Right now I am using a keyword (Temp.) and the set irregular repeat
feature to block these dates. However, I do not have an easy way to
delete all the other blocked dates, once we decided on an
appointement.

So your suggested Options 4 or 5 do not work because these dates are
not on a regular repeat and irregular repeats are not deleted if I
change the 'master appointment'. Or am I stupid and simply don't get
it?

Ach so!  Why didn't you say so?  That's a horse of a different color! ;)

Ok, it's rather fortuitous you're using the irregular repeat option
for this...  (You'll see why.)  What you need to do is VERY simple:

1) Create your "Master" event on whatever day you want; use the
Irregular Repeat option (as you've been doing) to designate all the
"potentials".

2) Once you've finalized the date, find your "Master" event (by using
the automatic Link DateBk5 adds to all Irregular Repeat events).  Take
note of the Date (just in case).  Tap Menu > Record > "Find Items
linking to this".

3) You should now be looking at a list (in List View, of course) ;) of
ALL the "potentials".  Tap Menu > Record > "Delete All Items".
Archive them or copy them to the History database as desired (DateBk5
asks if you want to do both/either).

4) Go back to Day View.  (It SHOULD be on the date of the "Master"
event; if not, go to that date -- as noted in Step 2.)

5) Change the Details of the "Master" event to whatever Date/Time was
decided upon.

6) Do the Snoopy Dance.*

* - Snoopy Dance optional. ;)

Nah, neither most likely...  I just didn't get what it was you were
trying to accomplish; your second attempt made it much clearer for me.
;) :)

Hope that helps! :)

For questionable things I use an icon: question mark. Then when that
appt. is confirmed I change the icon. You could then list view search for
question mark icon and delete those appts.

I do very similar.  I have a category called 'tentative' and it assigns the
? icon.

I prefer using icons than using tags / keywords. I even use a
spesific icon for items I intend to delete for next weekly review.

Concerning with tentative items, my problem is if I use different
icons for different tentative items, I can not make DB-5 display two
or more selected icon.

I hope multiple icon filtering (e.g. only Icon No.5 and Icon No.6 are
displayed in ListView) available in the next version of DateBk.
