hi,

sounds quite nice. As not every user, who is using calendar, is using infolog, the infolog-creation figure should be optional (configuration).
A way to handle it at the moment, would be to change the title- "to be recheduled: old title" and to set the event as non blocking.

Apply General Pricelist to Each Project with 1-click and "billable" default

(also filed as a feature request)

Ralf, all,

    Two issues:

    (1) Timesheet needs to be improved to allow the general pricelist
to be applied to any or all projects with a single click.

The present process of associating a pricelist with a project is far
too cumbersome to be usable. This is especially true when you have 50
plus projects underway. Currently, to fully use the pricelist feature
you must create a pricelist using the general "project manager"
"pricelist" menu. Then you must edit every project, select pricelist,
select the project tab, select billable, and then re-enter the item
price for that project even though the price is already in the general
price list. And... you have to do this for every item in the pricelist
repetitively for every project.

Timesheet would really shine if there was the simple option to
"Apply general timesheet to project" or, in the pricelist, at least be
able to select the project and simply be able to change "No" by
selecting "billable" or "bookable" to apply the entry to the project.

    (2) Billable needs to be set as default or a preference option
needs to be provided to set it to be the default.

Currently, if you enter a price for a pricelist element and save,
the entry defaults to "bookable" instead of "billable." This should be
changed. From an accounting standpoint "bookable" rarely applies and
only applies where there are contractual write-offs associated with
different payor classes such as a hospital that books recievables for
Medicare, Medicaid, 3rd Party payors, and private pay at full fare and
then knows they are "billable" at the government determined
reimbursement rate or the negotiated 3rd party payor rate. The
difference between bookable and billable being the contractual write
off. For 99% of normal people this never applies (unless they are
cooking with 2 sets of books -- that's a no no). So a default to
"billable" makes much more sense, at least from a legal and GAAP standpoint.

Guys,

Here is a quick development, usability issue. When viewing addressbook,
the navigation box on the top of the address list should also be
duplicated at the bottom of the page. This is the box that contains the:

[<<-][<-][Category][Addressbook][Distriution lists][Search][#][->][->>]

After you scroll to the bottom of a page of addresses, presently you
can't select the next page of addresses without having to scroll back to
the top. This would be a great time saver. If you don't duplicate the
entire box, it would be nice to have at least the first, previous, next
and last, [<<-][<-][->][->>], at the page bottom to allow navigation
through the addresses from there.

Should I file a feature request or will this email be enough?

Guys,

Is there any better way to associate the general pricelist to a project
besides selecting the project and then going through line-by-line in the
pricelist to associate each individual item with the project??

It would really be helpful to have a checkbox to the right of each
element of the pricelist so that you could simply create/edit the
project select pricelist from the menu (or go pricelist and then select
the project) and then have a checkbox so that you could check each
pricelist element that applies to the project and hit OK

Another (probably better) way would simply be to make all entries in
the general pricelist available to all projects by default.

Currently it is very cumbersome just to get a pricelist available to
each project.

        Any thoughts?

Hi David,

timesheet is, beside it's name, designed to track times and expenses.

You can create pricelist items of unit "each" and use just the start
date and quantity fields.

The date field is filled with the current date. If you want to record a
time with expenses, we could use the preset end-time (if not start time
or duration is given) as start time.

The only feature lacking compared to your describtion would be:
1. hierarchical pricelist items (eg. mail:certified, mail:insured)
2. extra interface for expenses removing the end-time and duration

Not sure how important (for my usage cases) these two are. Specially 2.
is a bit contra productive, as we use to track the time even for
expenses (eg. travelling time for km based travel expenses).

David C. Rankin J.D. P.E. schrieb:

> Ralf, all,
>
> Here are a few thoughts on expense tracking in egw. (food for thought
> that is) We currently do all accounting in quickbooks. What we would
> like to find with egroupware is a quick way to "capture" case office and
> case expenses along with the attorney time so that expenses and time can
> be properly associated with each case. Currently we use a steno pad by
> the fax, another by the postage, another by the copier which all are
> manually entered in quickbooks.
>
> Egw does an excellent job with time. Our goal is to come up with a
> simple and convenient way to keep track of phone calls, faxes, postage,
> etc. Those are the things that are used every day, that often never get
> captured or billed because there is no "easy" or convenient way for the
> attorney to do it. (almost all attorneys are too bipolar to remember to
> go back to the fax and write down the 18 pages we just sent on the steno
> pad)(our staff does very well)
>
> With egw, a great addition would be a quick "expense" feature, that
> would basically be a pop-up, like timesheet, but with a much simpler
> interface that would present only the needed capture fields like:
>
> combobox	combobox	combobox	text
> [project]	[item] [subitem]	[quantity]
>
> This could also be an "expense" button within the timesheet dialog
> itself. Time/date would be an autofill field. Each combo box would hold
> a list of all current items in the pricelist that would also serve as a
> "quick add" for either projects or items not already in the project or
> pricelist. The subitems could serve to keep the item list from growing
> to large. Examples (mail:certified, mail:insured, phone:intrastate,
> phone:interstate, etc., etc.)
>
> The "quick add" for a project would simply bring up the new project
> dialog (or simply add the project name to the project table with the
> details to be added later). The quick add for items or subitems would
> bring up a simple dialog that would allow for the "just in time" entry
> of the item name, description and cost per unit. That way the pricelist
> could be built and grow on its own without someone having to set aside
> time to build a pricelist.
>
> The natural follow on would be a print or report feature that would
> allow for the printing or exporting of client case expenses and time
> that could be easily added to quickbooks or serve as a stand-alone
> record for project expenses.
>
> As Egw grows, I would love to be able to use it for billing. With its
> logical design, and all the expense and time data captured in the
> database, the ability to use it for that purpose is just a matter of
> developing the output routines to make that data usable as such. I don't
> expect egw to grow into an accounting package, but then again, there is
> no reason it couldn't do everything that quickbooks does either and do
> it better. That is why I'm so impressed with the package.
>
> Thanks and keep up the great work.

Developers,

It would be nice to be able to select an end 'date' as well as an end
'time' when entering a timesheet entry. This becomes very apparent when
entering time past midnight or for people whose shift spans the course
of 2 days like an 11:00p to 7:00a shift.

The timesheet dialog allows for the selection of the begin date, but
not an end date. Currently, you can't simply set an end time if the time
is after midnight and are left with having to either make two separate
time sheet entries to account for the time or calculate and enter a
quantity to account for that time. By requiring the calculation of time,
the threat of error is increased. I don't know how difficult this would
be to implement, but I think it would be a great improvement for egw.

Hello,

Has anyone been successful in implementing a price list in egw so that
expenses, not just time, can be tracked with timesheet or infolog.
Something like:

Item Quantity	UnitPrice

fax 4 .25/page
phone 6 .18/minute
West Research	3 8.00/minute
Expert Cost	1 2,500
Med Records	1 375
Filing fee	1 218

That way both expenses and time are captured and the expenses can be
put in a table so they can be selected from a drop down and the
resulting entry would be visible under Timesheet view?

Or better yet, It would also be great if the Timesheet view were a
tabbed view with two tabs. (1) Regular timesheet and (2) Expensesheet
that could be totaled by (everything/project/client/user or category)

Ralf,

Let's say I have a client. His billing rate is $200/hr and the category
is 'malpractice'. When I add an info log or timesheet, I would like to
already have the rate and category default to $200/hr and malpractice to
prevent having to enter/reselect this information every time anything
related to that client/project is added, or worse yet, having someone
enter the *wrong* information. There can be hundreds of entries made per
client by numerous different people and implementing a default scheme
could save significant time and *prevent* errors.

Just a thought... but when a project is selected in timesheet, infolog
or whatever, it would seem the dialog could check/query the project for
the defaults and just fill in the dialog from there.

If it is not wanted, there is *no* wasted effort to change the fields
in the input dialogs that were going to be entered anyway. A default
scheme could significantly reduce errors that arise from
incorrect/ignorant user entry of information.

Maybe something to put on the back-burner, but if egw can offer error
reduction in data input, that is just another significant area where egw
will set itself apart as being a superior/efficient package.

> David Rankin schrieb:
>> Ralf, etc.
>>
>> Is there anyway that a category can be associated with a project so
>> that it will be the default for all items (etc. timesheet) subsequently
>> entered for the project?
Ralf, all:

Is it possible to do more client side caching to speed up egw's
response? For example, when viewing infolog if you select add new
timesheet from the drop down menu at the top right of the titlebar, you
fill out the timesheet info, then egw regenerates the 'infolog' display
even though the infolog data didn't change due to the timesheet addition.

Another example would be changing from week view to month view in
calendar. Egw regenerates the entire display, menus and all when all
that is needed is to update the calendar display data.

I don't know if this is possible, but it seems like egw could be made a
lot more responsive if at least the top and side menus were cached
client side and you were only updating the needed information instead of
the entire page with each client input. Just a thought...

Prevent Timesheet Entry Auto Erase

Ralf, all

This is sort of a feature request and help request all rolled into one.
This applies to the timesheet entry dialog and the main timesheet view
window with 'no detail' selected.

First, Is there any way to prevent the Timesheet entry Title field from
auto erasing the project information upon entry into the field? Why?
Our office manager uses the main timesheet window with "no details" to
move timesheet entries to Quickbooks for accounting purposes. The
project is not shown in the "no details" timesheet view and unless the
project name remains in the Title field, there is no way to tell what
project the timesheet entry belongs to without selecting 'details' which
more than doubles the time it takes to move the timesheet data over.

In order for her to be able to quickly transfer the information, we
must put the client/project name in the Timesheet entry 'Title' field.
By default, the timesheet entry Title field is filled with the project
number and project name. For our use, when entering time in the
timesheet dialog, we just need to delete the project number and type in
the case specific information to the Title for proper tracking.

What is frustrating is the 'auto erase' behavior deletes *all* of the
project information from the Title field when you enter the field
forcing you to have to 're-type' the project name again plus the
information related to that specific entry.

In some browsers you can hit 'esc' a couple of times and get the
project information back into the Title field so that you can edit it as
needed. Unfortunately Konqueror isn't one of them. So what I need to
know is:

(1) Is there anywhere I can kill the 'auto erase' behavior?, if not

(2) How can I make the project information display in the timesheet view
with "no details" selected??

There is plenty of room in the Title cell to display both. The two-line
'Date' column has both the date and time displayed while the one-line
'Title' field has only the title displayed in 'no detail' view. It would
be of great help to display the two-line 'Title/Project' combination in
the title field in the 'no detail' view.

For our data transfer purpose displaying the 'details' is very
cumbersome and inefficient. Many of the timesheet entries are 10-15
lines long making the detail view difficult to use for this timesheet
transfer.

I have also tried etemplate to add the project information to the Title
field of the 'no detail' timesheet view to no avail, so I'm stuck and my
office manager is throwing stones at me to find a solution. So do I have
any hope of being able to accomplish either (1) or (2) above?

        Thanks as always
>> there's a fixed timeout in phpgwapi/inc/class.phpmailer.inc.php Line 194:
>>
>>     var $Timeout      = 10;
>>
>> I had to set it in some installations to a higher value, maybe that's
>>>> This is a **HUGE** bug and problem that has been around since 1.2.00x
>>>> Everyone get this error using felamimail in my office. What is funny is if
>>>> after you get the message, you hit send again and it will send the mail or
>>>> time out. If it times out and give the same error a 2nd time, hit send again
>>>> and the message **will** go out. I have posted this error numerous times, but
>>>> it still has not been fixed. We end up using Outlook to send mail and use
>>>> egroupware for everything else....
>>>>
>>>> Maybe it will get addressed and fixed this time...
>>>>
>>>>
>>>> Came in to work after the weekend and no one can send emails. Viewing and
>>>> everything else still works perfectly. Nothing was updated on the server
>>>> over the weekend, so I'm stumped.
>>>>
>>>> I'm running Exim4 which can still send emails via command line or using
>>>> Mozilla Thunderbird, but Egroupware returns the error "The following From
>>>> address failed" followed by the users email address. This is happening for
>>>> all users in all instances.
>>>>
>>>> the Exim4 mainlog reads,
>>>>
>>>> SMTP protocol synchronization error (input sent without waiting for
>>>>
>>>> If I force exim4 to ignore the greeting (smtp_enforce_sync=false) I get the
>>>> follow error in the logs.
>>>>
>>
>>
>> It is not fixed for our SuSE 10.0 setup or out Mandriva 2006 setup. Both
>> servers fail to send with the first try giving the message discussed
>> here. This message is beind send from my 3111skyline.com setup and it
>> will probably fail the first time I try.
>>
>> "Yep it failed again on the first send attempt with the error of:
>>
>>
>> I have given you and Lars full admin accounts on the 3111skyline.com
>> install to let you see the error we get trying to send mail and to
>> hopefully get it resolved. Your account is "ralf" and you p.w. is
>>
>>
>>
>> I would really like to try and get this solved as a big part of egw is
>> unuasable in my opensuse 10.0 and mandrive 2006le setup.
>>
>>
>>
>> Let me know what else I can do or provide you with to help get the smtp

        I apologize, the $Timeout 30; class.phpmailer.inc.php seems to have
worked. One observation for usability; Is there any way to background
the message after the [send] button has been pressed and only pop it
back up in case of an error?? Right now the user just stares at the
mail they have thought they have sent for 20 seconds wondering what is
happening.

Also, a default $timeout of 30 might cure a lot of problems...
Friends:

We have been trying to get the addressbook display fixed to that the
addresses are shown like:

Address1
Address 2
City, State Zip
Country

This is the way all address are handled in the US (not to say other
countries shouldn't have an option for their preference as well).
However in 24376, the addresses are still displayed like this:

adr_one_countryname
adr_one_locality, adr_one_region adr_one_postalcode
adr_one_street
adr_one_street2

This is upside down for everyone in the US and makes it very
difficult for users to cut and paste addresses without having to cut and
paste again to switch the street lines and locality, region and postal
code lines again. ??`Is there any home of getting a svn release with
the address display switched to:

adr_one_street
adr_one_street2
adr_one_locality, adr_one_region adr_one_postalcode
adr_one_countryname

Thanks for all the great work. Also, what file would I have to edit
to change the display??? Do I have to use etemplate?? I am still not
that comfortable with the grid use in etemplate and don't want to mess
anything up. I can find addressbook.index.rows 1.4.002, but I can't
figure out how to change the display order.

    Thanks.

Request,

One thing that would greatly improve the usability of egw is to have
the category select lists collapseable. For example, when entering a
calendar item, when you go to select the category, you have to scroll
through a number of subcategory listing to get to the category you want.
We have a number of categories and subcategories. One example is the
category 'Clients':

Clients<Global>
  Bertin<Global> Bertin Clients Add sub
Guillory<Global> Guillory Law Firm Clients Add sub

  Joint - BA<Global> Bertin-Allen Joint Clients Add
sub

It would be great to be able to collapse the category Clients such as:

[+] Clients<Global>

and then when Clients is expanded you see:
sub

and of course if Rankin was expanded you would see the first full
list shown above. This would greatly reduce the category list clutter
and speed the selection of the alphabetically later categories like:

Court<Global> Court Add sub

and so on. We have 48 categories total and the full category list
in all applications is getting pretty long. Just something to
consider. Thank you for this fantastic product!

Over the past 6 months, the white-gray contrast distinguishing the

Project Manager List Needs *timesheet* Action on Linked InfoLog

Ralf, Lars:

In project manager, when viewing a project with infolog entries linked
to the project, there is no *timesheet* icon shown under the actions for the
infolog. This greatly affects usability. Without the timesheet icon, you
have to leave project manager, go to the info log and then start the
timesheet entry for that infolog. By then you are completely taken away from
the project view where you wanted to be to begin with.

It would make a lot of sense to include the timesheet action icon on the
linked infolog in the project manager view and would improve the usability
of an already *excellent* application.

Currently in Timesheet when our office manager needs to transfer our
time to Quickbooks, she is presented with the following fields in timesheet
view with "no details" shown.

Date, Title, Category, Duration, Quantity, Price, Total, User, Actions

The problem is that the "Title" displayed is the title of the timesheet
entry and there is no information about what project the timesheet entry is
linked to unless she opens each of the timesheet entries and looks to see
which project it is associated with. This is very time consuming. It would
be much better and easier on her if the project information was displayed in
the timesheet listing as well like this:

Date, [Project], Title, Category, Duration, Quantity, Price, Total, User,
Actions

This would make egw much more usable and provide a correlation between
the timesheet entry and project for anyone that looks at the timesheet.

Hi Markus,

I'm back from my New Zealand / Thailand vacation and will start working
again with the beginning of the next week.

Btw. I made a big progress in a - I think - usability related matter:
every user can now specify in all (eTemplate) Lists which columns he
wants to see or not to see. That's done quite similar to how
mozilla/thunderbird does is, with a little icon opening a popup, in
which so just check all columns you want to see. (Of cause there's a
programmatic default, which can be changed by an admin specifying a
default preference for that too). The use is really intuitive and it
allow to simplify the number of preferences (show these or that column)
in each app.

Again I will be available again from Monday next week on.
> the usability team wants to say hello again and ask for the status quo
> of the project. From our point of view there has been little development
> and communication concerning the usability aspects since the conference,
> so we would like to discuss the current situation and why nothing really
> happened by now.
> We propose a date for a chat meeting on irc-channel
> #egroupware-usability for next monday, 12.2., 10:00am, for maybe one
> hour, not more, to talk about the plans, next steps and the
