getting started with Internet Advancement

Hi all,

Our outgoing Advancement chair called the council to get a report of merit badges from the last CoH to see where things differed from what she had. She wants to make sure any loose ends are tied up before she turns over the reins to the new Adv Chair.

The person at Council couldn't find anything advancement related online for our troop for the last 3-4 years!!! She pulled the file and found all the reports there, they just were never input into the system. Council was assuming that we were doing Internet Advancement all this time!!!

I logged on to Internet Adv, and saw that the Council's advancement records are all out of whack (except for Eagle Scouts). For example one of our Life Scouts is still a Tenderfoot!

Can I just upload the advancement data from TM to get things in sync?

Is this done with File->Export->ADMS->Unit Information


Thanks for any help.

P.S. What about Scouts that have left or transferred out?  I guess that's a moot point.

You use the Reports-->Advancement-->Court of Honor/4403.

 

You then fill in the appropriate items and generate the Internet Advancement
file.

 

Log on to IA and instead of "Loading your roster" you "Upload your
advancement file".

(Terms may not be exactly what the IA pages say, but they're close).

Don't forget to date the search for the Court of Honor correctly, or you
will still need to log into Internet Advancement and enter in the spots.

You should go back and make sure that both are the same, so you can fix
any discrepancies at that time.

importance of their mistake and ask them to get it corrected quickly!

I would suggest, as Pete did, take it slow and do small increments at a
time.

Yes, it takes longer, but it's safer and less to correct manually if a
problem does arise.

You might even want to do an IA update based upon the paper reports that you
have on file.

This would then allow you to have a matching IA generated advancement report
that matches the filed version.

 

I disagree with CJ's suggestion of having the council folks take care of it.

If you do that, I strongly believe that you will have more errors to correct
than if you use TM.

Besides, your TM files are correct with respect to the advancement paper
work the council has, correct?

If so, the small increments of update will do nothing but prolong the
process, but will take less time and be

Less error prone than having the council do it.

 

Now, a word of warning. Every time you create an advancement file for
uploading to IA, the file name generated is the same.

So, when you do your first file, it will be called ADVS####.CSV, where ####
is the unit number as recorded in TM.

So, be sure and save that file in a unique directory for each IA increment
you do, or remember to rename the file after it has been created.

 

*** If anyone knows how to get TM to create a uniquely named file each time
the IA file is created, PLEASE, let me know!!!!

 

What it's called when you tell IA to upload it is irrelevant, but TM calls
it the same thing every time.

To me, this is a big, big error on their part. The generated file name
should be something unique EVERY TIME the file is created.

For instance, use the date and time in the file name. Can't get two files
with the same date and time unless you go out of your way to do so.

I also have a problem with TM not having "sticky" directory settings. TM
always wants to store the IA file, and others, in a directory where the TM
data is stored. I keep my TM data on a UCB drive, but I keep the IA files,
etc in a troop directory on my PC hard drive. Because they don't use
"sticky" directory settings, I'm always having to drill down to the report
directory every time I create an IA file, etc.

 

I use a directory named with the date I do the advancement report. Then, I
save the TM advancement report, the IA upload file and the IA advancement
report all in the same directory. That way I can go back and review things
if there ends up being a problem.

Don't impress that if a unit did not do their due diligence in reporting
the information to the council that it is their mistake.  While
Troopmaster is good for keeping track of the information locally, the
advancement person still needs to print out the advancement sheet after
entering the information into the system and taking it to the council
office or uploading the information to the council.

I wish that there was a connector (future feature request) to Scoutnet
in which it automatically gets dumped up there, but it don't - so we
still need to do the footwork.

I rename the file after it is created.

This is the format that ScoutNet required for a local upload back
before IA existed.  This is the filename that we had to use when we
delivered the advancement reports to council on floppy, or emailed
them.

Now that IA is around, and the filename isn't important any more, I
agree that it would be nice to have a timestamp in the filename, and
to have it remember which directory to put it in.  TM2005 did this,
IIRC, but TM2008 stopped for some reason.

Thanks for the clarification on the issue.  Internet Advancement has
been around since 2002.  Our troop a) Enters it into Troopmaster &
prints the report, 2) Enters it in Internet Advancement and 3) Takes the
printout to the council office.  All of which ensures that if someone at
the council office did file the paperwork that it would be entered.

This is all done at the advancement chair in the committee.  Since
Troopmaster does the export, it can be made easy by import.  The problem
is that the imports don't always take, so it is good to have the
information in three places and they are all sync'd.

But as I said - if the advancement person has not been entering in the
information in internet advancement, it is not the councils fault.

That could be the case in your council, but not in all of
them.  We've had Internet Recharter since around then, but just got
Internet Advancement in the last 2 years or so.  Prior to that, I
emailed the .csv files to the registrar.

Only if the council requires the use of Internet Advancement.  Ours
does not.  If the council accepts paper advancement reports, then the
council should have entered them.

When dealing with Internet Advancement, the due diligence falls to the Advancement Chair (or whomever loads the file into the system).  In my opinion, what you need to do is run off the reports that TroopMaster generates, and then compare it to the report that IA creates at the end of the process. 

The biggest culprit behind lost data in IA is the matching process.  If the Scout's name differs between ScoutNet and Troopmaster, those Scouts will not be credited.  That is where comparing reports is critical.  The first step is to compare the award totals.  If those match, then there is nothing left to do - you are in balance.  Otherwise, start checking the IA report for Scouts missing from that report.  When I have come across dropped Scouts, I have to go back and manually update their accounts.

When Rechatering occurs, make sure to update ScoutNet to match the Scouts name's in Troopmaster, down to the last character.  If ScoutNet is correct, then fix TroopMaster.  Either way, they MUST match otherwise the problem will continue.

Although IA may have been available to some councils in 2002, it was not available nationwide.  I do not believe our council had it until 2006 or 2007.  Prior to that, the electronic files were handed in to the Scout Shop on a floppy at the time of award purchase and then sent upstairs for processing.  During that time, there was occasion for a Scout's record to lose data in the same manner, as the Scout Office did not verify the entire report. 

We have had problems in both instances.

As for resolving this problem, I feel that a pre-check of the data would resolve the issue.   A preview process could compare the data on the file and see if there is a Scout to match it to, and report those items that do not match.  The processor could then be prompted to accept it and allow them to correct the differences manually, or allow them to escape without update, and correct the file or ScoutNet data as neccessary and re-try.

This is what happened. Our Adv Ch did do her due diligence. The paper reports are correct. The council didn't enter them in Scoutnet.

Let me add a little more to my last post:
As far as I know, our council (National Capital Area) doesn't require IA. They have been encouraging it, but it's not required. Our AC didn't have TM, since she has a MAC. She would send me the advancement info and I'd enter it into TM.  Now that we're getting a new AC, we may get into IA. I just need to get things synced up now.

I think going the incremental route is the way to go. We'll probably go by CoH reports.

Merging data for individulas from another copy of TM

Our SM has a copy of Troopmaster that is slightly dated and the Advancement
Chair has a newer version, although that is not the issue.  It seems that at
some time, the data that the SM has was lost or perhaps just not passed on
to the Advancement chair.  So what we end up with is that the Advancement
chair has the up to date information on most Scouts and Scouters.  But not
quite.  It seems that there is historical information (when SM went through
OA ordeal) on a few Scouts and some of the long-term Scouters that is on the
SM's copy but not the Advancement chairs.

 

Is there a way to merge data for a specific individual from one TM database
to another?  Not just import data from one to another, but merge data for
the same individual.  I want to recover the missing historical data on
"brian" as there is information on "me" in both databases that we need to
retain.

This may be a good time to post my question for the 3rd time.  I can upload
the ADVS####.CSV all day long and have zero information entered in the IA
portal because the ADVS####.CSV is completely void of all data.  The data is
in the printed reports and the export.txt file.  Is it possible that I am
the only user in this group to have experienced this?

Scott, If the CVS file is empty (open with notepad only as other programs
like Excel have a tendency to alter files)) don't waste any time uploading
it. The size should be more than 1KB (mine was 24KB for 88 boys for the
year). Check also that you have the start and end date set correctly. Pete

Not trying to flippant or anything, but both of the messages you are citing
are titled "PackMaster 4403 ScoutNET CSV file has not data".

I call attention to PackMaster. What we have been discussing is TroopMaster.

 

Conceptually, they are the same, but in reality, they are two separate
software products and can therefore have independent problems.

Someone, not I, noted recently noted that this is the TroopMaster User
Group, though I personally feel we can all help each other regardless of
whether the software is TM, PM or even ADMS.

 

As to your question, I have never experienced what your are asking in my use
of TroopMaster.

 

You may want to run it by the guys over at TSI.

 

When you find out what the problem cause and solution is, would you please
post it here in case it is something that could happen in TM?

Thank you for the replies.  I'll be processing this month's advancement on
Friday.  I have tried every thing I can think of, including varying the date
fields and various settings on the R/P fields, short of removing and
re-installing the PM software.  I'll step through it carefully again this
week.  If I get the same results, off to TSI I go.

If you know of a separate group for PM, I'm verey interested in oining it.
 I landed here as a recommendation from the TSI site
